Bookkeeper / Executive Assistant

We are seeking an experienced Bookkeeper and Executive Assistant to join our team. The successful candidate will be responsible for maintaining financial records, managing accounts payable and receivable, and providing administrative support to the office. The ideal candidate will have strong attention to detail, excellent organizational skills, and the ability to work independently and efficiently. We are looking for someone passionate about helping our business succeed and committed to accuracy and timeliness. Overview of Responsibilities:
- Uphold quality historical records by filing documents.
- Perform general office work; maintain supplies and various files; keep records and compile these into periodic or occasional reports. Accuracy and attention to detail is a must.
- Prepare financial reports by collecting, analyzing, and summarizing account information.
- Record and reconcile accounts payable and receivable.
- Process payroll, including checks, direct deposits, deductions, and garnishments.
- Reconciles monthly bank statements.
- Reconciles monthly credit card and vendor statements.
- Transaction entry: Downloading bank/credit card transactions; Accounts Payable - Entering checks, bills, bill payments, etc.; Accounts Receivable – creation of invoices, posting of payments to customer ledger, etc.; Journal Entries and adjustments
- Online sales tax and payroll tax filings
- Examine payments received and record deposits
- Support accounts by verifying, allocating, and posting transactions
- Professional Assistant to Owner – keeping up with calendar and management task list
- Performs other related duties as necessary or assigned.
Knowledge, Skills, and Abilities:
- Must be pleasant, discreet, tactful, and capable of honoring confidential communications.
- Excellent written and verbal communication skills.
- Excellent organizational and time management skills.
- Proficient in Microsoft Office Suite
- Skilled in the use of Microsoft Excel and Google Sheets
- Proficient in QuickBooks Online or other accounting software.
Preferred Education/Experience:
- Bachelor’s degree in Accounting, Business Administration or related field
preferred- OR equivalent work experience. - Certified Public Accountant or Certified Management Accountant
designation is a bonus.
Job Types: Full-time, Part-time
- Salary: $30,000-$60,000 per year
- Expected hours: 30-40 per week
